iPad Loss / Damage CPS Policy

Columbia Public Schools (CPS) allocates funds to cover some instances of damage, theft, or loss of one-to-one learning devices and equipment. In certain situations, fines are assessed to promote accountability and responsibility. Fines can be paid at the school or via the district’s online payment system.


Instances of Accidental Damage and Theft

  • 1st Instance: No charge
  • 2nd Instance: $25.00
  • 3rd Instance: $50.00
  • All Subsequent Instances: Charged at current CPS purchase price

Key Points:

  • Instances per individual will reset annually but will follow students across CPS schools.
  • Fines remain on the student account until paid.
  • Stolen devices must be reported to the school with a police report case number within one week of the theft.
  • Neglect or intentional damage may result in adjusted fines, as determined by school administration.

Instances of Loss

  • 1st Instance iPad: $50.00
  • 1st Instance Keyboard: $50.00
  • 1st Instance Laptop: $100.00
  • 1st Instance Hotspot: $50.00
  • Hotspot Charger: $20.00
  • iPad/Laptop Charger: Charged at current CPS purchase price

Additional Notes:

  • Maximum fine for first loss is $100.
  • Subsequent instances and students not returning to CPS will be charged the current CPS purchase price.
  • If a lost device is found in usable condition within the same school year, the fine will be refunded.
  • A lost hotspot must be paid for before a replacement will be issued.

Device Chargers

  • One charger (cable and power brick) is issued per device.
  • Chargers must be returned in working condition along with the device.
  • Replacement chargers must be Dell-certified or Apple-compatible:
    • iPads require a 12-watt charger and sync cable (5-watt chargers are insufficient).
  • Replacement Costs:
    • USBC Charging Cord: $10
    • USBC Charger Block: $10
    • iPad Case: $20

Hotspots

  • Hotspots and chargers must be returned to the Media Center annually with the CPS-issued device.
  • Stolen hotspots must be reported with a police report case number within one week of the theft or a $50 fine will be assessed.
  • Lost or damaged hotspots or chargers must be paid for before replacements are issued.

Important Reminders

  • Safety: Chargers must meet CPS specifications for safety and performance.
  • Tracking: Schools will maintain records of issued devices and accessories.
  • Alternative Payment Arrangements: May be made at the school’s discretion.
